If you have been using the offline version of Flowly, everything in it can come across to Pro in one go: your customers, their vehicles, every job, and your expenses. Your settings come too, so your labour rate, your VAT treatment and your invoice numbering carry on exactly where they left off. Your next invoice takes the next number, not number one.
It takes about a minute, and you only ever do it once.
Before you start, open Flowly Standard on the computer or phone you normally use it on. That matters: the desktop file and the mobile file keep their own separate records, so export from the one you actually work in. If you use both, export from the busier one.
Step one. Make the backup file. In Standard, go to Settings, scroll to Backup, and press Export full backup. Your browser downloads a file called something like flowly-mechanic-backup-2026-09-14.json. That single file holds everything.
Step two. Bring it across. In Flowly Pro, go to Settings and press Bring my data across. Choose the file you just downloaded, or drag it onto the box, and press Bring my data in.
Step three. Check it looks right. Pro tells you how many customers, vehicles, jobs and expenses arrived. Open your jobs list and have a quick look at a job you remember. If the numbers look wrong, do not import again: message Luke on WhatsApp and he will sort it out.
If the file is refused as "not a Flowly backup", you have most likely picked a different download. Look for the one starting flowly-mechanic-backup.
If it says the backup is empty, it is a real Flowly file but there was nothing in it. Check you exported from the right device: desktop and mobile keep separate records.
If the import fails partway, nothing is half done. Your Pro account is exactly as it was and your offline file has not been touched, so it is safe to try again.
Everything Standard does, Pro still does, in the same places. These are the parts that are new.
Registration lookup. Type a number plate when you are booking a job and the make, model, colour, fuel and MOT expiry fill themselves in. It saves the vehicle against the customer, so the second time that van comes in there is nothing to type at all.
Health Check. Record what you found on a vehicle, tyre by tyre and brake by brake, with photos. Pro turns it into a page you can send the customer by text or email. They see what you saw, and they approve or decline the extra work themselves, in writing, before you start. No more phone calls that end in "I never agreed to that".
Automatic reminders. MOT and service reminders go out on their own by text, about three weeks before the date, to customers who have agreed to get them. Pro watches the dates and sends them, and shows you what went to whom.
It follows you around. Your account is the same account on the workshop tablet, the office computer and your phone. Book a job on one and it is there on the others straight away. Nothing to back up and nothing to lose if a laptop dies.
Reg lookup lives inside the New job form, next to the registration box. Health Check is its own item in the menu, and also opens from any job. Reminders has its own screen, and the text messages you have sent are listed under Text messages. Everything else is where it was in Standard.
Message Luke on WhatsApp on 07514 202898. A screenshot of what you are looking at usually sorts it in one reply.
